VERY IMPORTANT: ANNUAL GENERAL MEETING!

Hello everyone!

Hope you are all excited for the show/not stressing with deadlines/enjoying the last term before exams look! This year has gone by super fast andI can't believe it's nearly Easter! On an exciting note, this means it's now time to elect next year's committee!! The Dance Society Annual General Meeting will be held on SUNDAY MARCH 6th at 3:00PM after the Bloomsbury full cast meeting, in the Lower Refectory. Absolutely anyone is welcome to run for a position on the committee and for those of you who do not wish to, please please come along anyway and vote! This is your chance to have a say in the future running of the society and will have a huge difference on how things work next year!

If you would like to run for a position you must prepare a short speech approximately one to two minutes long stating why you think you are a good candidate. Think very carefully about what the role requires and what skills and experience you have that make you stand out. You must also be prepared to answer questions from members of the society at the AGM as to what experience you have and why you are the best person for the job. As well as this, please email ME, p . horne@ucl . ac . uk<mailto:p . horne@ucl . ac . uk>, NOT THE DANCE SOCIETY EMAIL ADDRESS, letting me know exactly which positions you intend to run for. This is for purposes of confidentiality.

You may run for a maximum of two positions, but YOU CAN ONLY HOLD ONE!! We will count the votes on the day as we go along so candidates will know if they were successful before moving on to elect the next position. This means you must have an idea of your first and second choice positions and then make sure it matches the order of elections listed below. Once you've been elected you can't decide you don't want it and then run for your first choice!

I have written below all the committee positions and what their roles are in the order that they will be elected. This year we are intending to change one of the 'Committee Member' positions to be 'Volunteering Officer' so this new position is listed below but will have to be agreed at the AGM before anyone can run for it. Please however do still let me know if this is a position you wish to run for, as you will not be able to decide to run for anything on the day!

The President:
Represents the society and is FULLY RESPONSIBLE for making sure that the society is run according to its constitution, the UCL Union Club and Society regulations, Good Practice Guidelines, and Standing Orders of UCL Union. Shall therefore have ultimate responsibility for all the activities of the Club or Society, including responsibility for the financial affairs of the Club or Society.
Must call and chair regular meetings. These include weekly committee meetings, meetings regarding the volunteering program, the Annual General Meeting (where they will organise proper elections for the following year’s committee) and the EGM to elect the first year representative.
Shall be the primary point of communication between the Union and the society members. S/he will sit on the relevant Union Boards.
Will appoint the Production Team for the annual Bloomsbury show and take responsibility for being Producer of the show should no one else come forward.
Must undergo compulsory training in the summer term. (Usually first week of June.)Will organise the day to day running of the society, including the organisation of events and co-ordination of committee members.

Treasurer:
Shall carry out the day to day financial duties of the club/society, and is responsible to the union for society finances.
Shall keep current accurate financial information. The Treasurer is responsible for all financial transactions of the society ensuring that these are made through the Union Finance Department; only the Treasurer, or in his/her absence the President, may authorise withdrawals or expenditure from the club/society accounts.
Shall maintain a society account book.
Will act to uphold the long term financial health of the society.
Must undergo compulsory training in the summer term. (Usually first week of June.)

The Vice President:
Shall represent the society and shall be responsible for making sure that the society is run according to its constitution, the UCL Union Club and Society regulations, Good Practice Guidelines, and Standing Orders of UCL Union.
Shall work in coordination with the President and support both the President and Treasurer in their duties.

Communications Officer:
Shall be responsible for checking the e-mail account and all member enquires, either responding to them, or forwarding them to the most appropriate member of the committee.
Shall liase with the President and send messages to members collectively via the mailing list.

Publicity Officer:
Shall be responsible for all promotional material produced for classes, events and shows in accordance with the UCL Union Regulations.

The Technical Officer:
Shall maintain the UCL Union Dance Society website, keeping up to date and useful information of all classes, rehearsals and up coming events.
Shall liase with the Communications Officer and President to contact members of the society to keep them informed of changes to the website information.
Shall be responsible for all sounds equipment and arrangement of music required by the society and its members for classes, performances and events.

Liaison Officer:
Shall be responsible for organising teachers for all of the society's classes and liaising with both students and professional teaching staff to ensure smooth running of all classes and events.
Shall be the first port of call for all professional teachers.

The Social Secretary:
Shall be responsible for the running of regular social events at which members of the society can meet each other outside of rehearsals and classes.

Scheduling Officer:
Shall be responsible for coordinating the dates, times and spaces needed for UCL Union Dance Society events.
Shall draw up rehearsal timetables for all performances and shows.

The Resident Choreographer:
Shall be responsible for coordinating dancers and rehearsals for all events at which the society are asked to participate, be it with other UCL Union Clubs and Societies, or independent events.
Shall be responsible for entry of the UCL Union Dance Society into inter-university dance competitions and displays.

Volunteering Officer:
Will act as Project Leader for the volunteering program.
Will undergo compulsory Project Leader and Child Protection training.

Committee member:
Shall represent the members of the society and take part in any collective decision making. 
Shall help out other members of the committee in their roles when necessary.
Shall attend committee meetings.

The management of the club/society shall be vested in the club/society committee and therefore whilst the roles to be taken on are EXTREMELY FUN, they will require a significant committment and should not be taken on lightly!Please email me on my personal email address (p . horne@ucl . ac . uk<mailto:p . horne@ucl . ac . uk>) NOT THE DANCE SOCIETY ACCOUNT.
